Okay, there is a thread dealing with the so called 'Old Boys Club' started by the Chapter 73 prez that is getting a mite off topic and there was some interesting and welcome news posted there that I've copied and pasted here. My response follows that post.

Jon- One of the things I have learned about people is that they dont always do what they say they are going to do.......even though they intend to.

We have been trying to find someone to contact the chapters....we have found people that say they will....but we are still looking for someone that will do what they say.

Thats why I was pushing on Gabors forum for such a person ....especially because thats where I heard all the complaints about how we dont contact the chapters.

Now...someone stepped up and is eagerly volunteering for this job.....and she is invited to our online board meeting tonight.

I have no doubt she will be contacting the chapters....and at least that growl will be muffled. Its a 2-way street however. After the chapters are contacted....they will be asked what we can do to help with their chapter....and likewise....we will need some mutual action helping us as a team.

As long as we sit and complain....nothing will get done. It just takes one good promoter in each chapter, and we will get a lot more done...imho.

It is good to hear that after almost four years or so without one, that we now have a chapter coordinator, or what ever title she is given.

I served in that position for three years and I'd be very surprised if any chapter would say that they didn't receive communication on a regular basis from me. Or an individual who says I wasn’t responsive to questions about the chapters or the PRA. And that includes Chapter 73! In fact it was suggested to the PRA board that Chapter 73, along with some other chapters, be recognized for their activity in 2007.

The PRA had been without an active coordinator for many years before I volunteered to take the responsibility. And the lack of a coordinator had an obvious impact on the PRA for those who had been around long enough to see the importance of that role.

It took me three months, with the help of Jennifer Gilmore and Rick Gilley, to determine what chapters were active and the ones who were not. There was little chapter coordinator files/history for me to peruse or a job description for the coordinator so I had to make my own.

There are chapter coordinator reports for the years 2007 – 09 at the PRA office in Mentone if anyone cares to look at them. The last previous report was by Cindy Hardee in 1999, she did a good job. The reports were presented to the board and show the amount and type of activity that happens if there is an active coordinator who cares about the PRA.

This position requires some time and effort which not everyone has, or is willing to donate. The job is an energy burner and puts strain on the family which is the reason I stepped down. There were 350 email exchanges during 2008 but there were too many to count in 2007. The emails dropped to 177 in 2009 and I attribute that to a heck of a lot less fire fighting that constant communication had prevented.

The coordinator can have an impact as shown in the coordinator reports. There was a net loss of 14 chapters from 1999 until 2007. From that point, there were several new chapters started and seeds planted for others with the new Texas Chapter 65 being at least one result of those seeds. There were also several chapters including Chapter 17, 40 & 78 that were resuscitated during that time and a couple of others who had issues that needed a facilitator. I feel that there is potential for other new chapters to be formed.

I wish the new coordinator the best in her efforts and I’m always here to help if she needs it.

A good coordinator can only be as good as the help he is recieving from each chapter. And, the chapters will only benefit if they have a promoter that will work good between the coordinator and the chapters membership. Being a chapter's liason with the coordinator and/or the PRA is a job, not just a position or a title, and will require a lot out of a person for it to work properly.

Being the editor of a regional newsletter I get to see first hand just how hard it can be to get the proper communications. I had to look hard to find the right person in each chapter to communicate with to get information and at times it's not even the one that you would expect.

Paul Plack is the editor for our regional newsletter and we all communicate with him through email.
I would think that the President of the chapter should contact you, or at least one of the officers after every meeting to report minutes and pictures,etc.

Maybe it's different with your chapters.

This is true, Mike but it is the coordinator that promotes, manages and facilitates the communication process. A diligent coordinator WILL make it happen!

Mike, what you see at the newsletter level is just a microcosm of what the coordinator experiences; trust me on that one!
 
Some chapters have officers that were elected into the position because nobody else wanted it. Just because someone happens to have an officers position, doesn't mean that they are the chapters best source of information. The best source of information or communication may not even hold any officer's position.
 
I agree Dean, I can only imagine the work it would take to find that right person in every chapter, I'm lucky I only deal with 5.

Actually Jon, it may be your chapters that are different! As chapter coordinator I found that I had to virtually hammer some chapters into submission in order to get them to communicate with me. My hammering took the form of insistent emails and continuing phone calls. But, it seemed like once they saw that I wasn't going to go away and that there might be a benefit to staying in the loop then most became good communicators.

The coordinator is the one person in the PRA who has intimate contact with a chapter and brings the PRA closer to home. It shows that there is a human that cares and not some phantom organization in Mentone that may not have the time to offer personal attention. The chapters learned that they could trust me to listen and do for them what I could. While many board members advertise their availibility, the fact is they have another life outside the PRA and their time is limited. Consequently a good coordinator takes some load off the board and handles local issues while communicating with the board and promoting the PRA.

Yeah, I failed to take note that Stan said the online meeting was tonight. Let's hope that she passes the interview and then accepts the position.
 
Having been in that role myself, I'd say that the problem for the Chapter Coordinator is finding relevance in the correspondence and avoiding the "What would you like for us to do?" -- "What can you do?" loop. The new program to rebate to the chapters for new national memberships is a start, but after that it may get sticky.

Western Rotorcraft was an outgrowth of the Regional Representative program. Combining six chapters scattered over two regions in one newsletter has been challenging, but it's been satisfying to see all the chapters step up and take the communication opportunity seriously.

I think it's very tough to run a chapter in isolation these days. If you're not sharing your enthusiasm over a large enough group of people, the flame just kinda goes out.

It will take a lot of work to get the chapter working closely with the mothership in Mentone again. We'll help the new Chapter Coordinator any way we can.
 
Good Luck to whoever takes it over. I was the last PRA Chapter Coordinator, I found it nearly impossible to get much of a reply from most chapters. There are a couple that are active and responsive. I am sure I could have done more, but with no response after countless emails to most chapters it is hard to coordinate.

With no real direction from the PRA it was hard to do much more than ask chapters who is in the group, flying and building. That is all that the PRA board asked of me and I did put in a lot of hours but it became frustrating.

I have a box of past history, PRA chapter start up kits, and a lot of good things the new Chapter Coordinator will need. If someone wants it let me know and I will ship it. I hope the next person more luck than I had.

Thank -you Dean , Dave , Paul & Jon for your insights & good wishes & offers of experienced help for the task I have impulsively submitted to undertake.
All I can say is I'll give it my best shot for the next year and then reassess!

Effective communications IS a two-way street & I hope to find the individuals in each chapter ( office holders or not) who will be willing & effective in communicating their chapter concerns & PRA related business!

I was once a chapter coordinator. There have been many of us. None successful, ever.

If you want to find out what the chapters are up to, read the forum. Any chapter, doing anything, usually posts it on the forum.

All the wasted energy chasing chapters for information could be best used somewhere else. Chapters come and go and ebb and flow with activity. It would be a full time job if they all replied to you.

I would encourage chapters to post their newsletters as PDF file here or run a thread about their last meeting, fly-in, etc. What's easiest is often best.
 
If chapters do newsletters they should send PDF files to Paul so they can be sent out with the others in the PRA emailing. There are a lot more people recieving them that way than there are people that visit the forum for chapter information.

It would be great if the other chapters would start putting together regional newsletters like the western and southwestern regions do. This actually makes it much easier for everyone and allows for a better newsletter.
